When HubSpot’s native quotes aren’t enough

HubSpot’s quotes handle a standard sale well: products from your library, tiered pricing, tax, approvals and e-signature. They stop fitting when add-ons depend on the product, when reps quote at a customer’s site, when prices live in your ERP, or when a quote desk prices every request. Then you need a pricing sync from the ERP, a quoting tool connected to HubSpot, or both.

Check your seats first

Quotes now sit in HubSpot’s Revenue Hub. HubSpot’s own help page says a Revenue Hub seat is required to create quotes, on Professional or Enterprise. Accounts created before September 3, 2025 may still have legacy quotes. Before you scope any quoting work, confirm which seats your reps quote on. Which HubSpot plan your sales team needs →

What native quotes do well

  • Products and line items pulled from the deal, up to 500 per quote.
  • Tiered pricing and tax.
  • Approvals, with notes for the approver and a request-changes loop.
  • E-signature and a buyer-facing quote link.

If your reps sell from a catalog at list or tiered price, at a desk, this is enough. Don’t build around it.

Where native quotes stop fitting

Add-ons depend on the product. If an option only fits certain models, reps need the quote to show only what fits. Native quotes don’t filter add-ons by product, so reps pick from the whole library and mistakes reach the customer.

Reps quote at the customer’s site. When we built a quoting tool for a client in 2026, HubSpot’s mobile app couldn’t create quotes, and native quotes don’t work offline or let a rep change volumes on the spot. For outside reps, that means the quote waits until they’re back at a desk. HubSpot for outside and field sales reps →

Prices live in the ERP and change often. Don’t keep a second price list in HubSpot that someone updates by hand. It drifts, and reps quote stale prices. Let the ERP set the price. At Fairbank Equipment, reps request bids and orders from HubSpot, Eclipse sets the price on each line, and the order ID writes back to the deal.

A quote desk or estimating team prices every request. Then the rep’s job is a complete request, not a quote. Make the request a form on the deal with the fields estimating needs, so nothing reaches them half-filled. At Fairbank, 9 outside reps created 49 bids from HubSpot in one 90-day window.

Sync, build or buy

  • Prices come from the ERP: sync them. The ERP stays the source of the price, and reps see it on the deal. HubSpot ERP integration →
  • Field quoting, dependent add-ons, a margin view for reps: build a quoting tool that pushes to HubSpot. For California Mobility we built one with add-ons that filter by product, one-tap packages, a rep-only margin toggle, discount approval flags, offline capture that syncs when the rep reconnects, and a push that creates the deal, the line items and the HubSpot quote. It’s built and rolling out to their team.
  • None of the above, and you want zero maintenance: a packaged CPQ app is fine. The one we compared for California Mobility was quoted at about $7,800 a year, every year, so the custom build paid back inside about a year.

FAQ

Can HubSpot quotes handle optional add-ons that depend on the product?

Not natively. HubSpot quotes pull products and line items from the deal, but they don’t restrict which add-ons a rep can choose based on the product. If options only fit certain models, reps pick from the whole library. A quoting tool that filters add-ons by product, then pushes the result to HubSpot, closes that gap.

Do I need Revenue Hub to create quotes in HubSpot?

For new quotes, yes. HubSpot’s help page says a Revenue Hub seat on Professional or Enterprise is required to create quotes. Accounts created before September 3, 2025 may still have legacy quotes. Check which seats your reps quote on before you scope quoting work, because it may be a licensing question before it’s a build.

Should quote prices come from HubSpot or the ERP?

From the ERP, if that’s where prices are maintained. A second price list in HubSpot drifts, and reps end up quoting stale prices. Sync prices from the ERP onto the deal, or let reps request the quote and have the ERP or the quote desk set the price. At Fairbank, Eclipse sets the price on every line.
