HubSpot AI agents
We set up HubSpot’s own AI inside the workflows your team already runs: the Customer Agent for support, and AI drafting for follow-up, meeting notes and record updates. A person approves anything that goes to a customer. And we start with the data, because an agent working from a messy portal gives confident wrong answers.
Trusted by owner-led companies
Fowler High Precision, a precision manufacturer, put HubSpot’s Customer Agent in front of its support inbox. We built it on a knowledge base of more than 40 articles. In the first month, the agent handled 70% of incoming support tickets without escalating to a person, and response time went from hours to seconds.
The first version didn’t work. With thin documentation behind it, the agent answered confidently and got roughly one in five answers wrong. The fix wasn’t a setting. It was the knowledge base. That’s the pattern on every AI build we do: the tool takes hours to configure, and the content and data it reads from take the real work.
“Stellar, stellar experience! Blown away by their expertise, guidance, and drive… simply the best.”
Randall L., VP of Marketing, Fowler High Precision
Native HubSpot first. We only build custom where HubSpot’s own tools stop.
It answers from your knowledge base on chat and other connected channels, hands the conversation to a person when it isn’t confident, and opens a ticket for what it can’t resolve. We set the scope, the handoff rules and the fallback answers, then audit the knowledge base it reads from.
The Customer Agent fits when your knowledge base is large and accurate and the goal is taking repetitive questions off the team. A scripted chatflow fits when you need exact control, the knowledge base is thin, or qualification follows a fixed script. Many sites need both.
Fill in a property and a draft email or document appears on the record for a rep to review. Inbound emails that match your rules get a reply drafted from your own knowledge, with the right meeting link, saved as a draft for the rep.
The call summary goes on the contact and deal records, a task goes to the host, and each action item becomes its own follow-up.
If an outcome needs something HubSpot can’t do natively, such as drafting from a source outside HubSpot, we build that step in an automation tool and write the result back to the record.
Four parts, each with one job:
Contacts, companies, deals and tickets live there, and so do the approvals. Reps never leave it.
A record change, a form, a new email or a schedule starts the flow. n8n pulls the data together, asks the AI, and writes the result back to HubSpot. Each client gets their own n8n instance.
It reads your company knowledge and the record in front of it, then drafts the answer, the summary or the next step.
ERP, accounting, calendar, email, support tools: n8n reads from them before the AI runs, or updates them after a person approves.
Where it lives. In your HubSpot portal and your own n8n instance, with your company knowledge in a knowledge base you own. What the AI produces lands on the record as a draft, a task or a property, where your team sees it and approves it.
How we work together. One workflow at a time. You name the owner on your side, we agree what the AI does and where a person signs off, we build it on your data, and we review the first month together before adding the next one.
Healthcare: patient data only flows where every part of the chain is covered for it. Self-hosted n8n is our default for that, and we confirm the AI provider’s coverage before any PHI goes through.
Three things always stay with a person: anything said to a customer, pricing, and changes to CRM records. The AI drafts them. Your team approves them.
We’ve evaluated HubSpot’s Prospecting Agent on a real scope and turned it down for that use. We don’t sell what we haven’t shipped.
We refer that work out.
Healthcare: AI features follow the same PHI rules as the rest of the portal. HubSpot’s AI can summarize covered calls and meetings, but it can’t read properties marked sensitive, and some AI features aren’t covered by HubSpot’s BAA yet. We check every AI feature against your setup before it goes live. HubSpot for healthcare →
Every free audit now ends with an AI readiness read: is your data clean enough, is your knowledge base current enough, and is your plan the right one for the AI features you want. No extra cost, same 3-business-day walkthrough. Request your free HubSpot audit →
For leadership teams that want a plan, not a demo. The audit fixes the portal. The assessment maps the work across your teams.

Most teams don’t need another AI tool. They’ve already got several, each with its own copy of the truth. The bigger win isn’t one more agent. It’s putting your company’s knowledge in one place an AI can read: how you sell, what you’ve built for whom, your pricing rules, your product docs. Once that exists, the same context powers many things: a support agent, a prompt that preps a rep before a call, a draft follow-up that already knows the account, a first pass at a proposal.
We run ProfitPad this way. Our own client history, methods and pricing rules sit in one knowledge base an AI reads every day, connected to our CRM. In an assessment, we show you what that looks like on your data, and which uses are worth building first.
AI reads whatever is in your portal. Duplicate contacts, a stale knowledge base, or deals with no company on them turn into wrong answers and wrong drafts, delivered with confidence. So every AI build starts with a check of the data and content it will read from. If your portal needs work first, the free HubSpot audit finds it and we fix the quick wins before any agent goes live.
Data quality, the knowledge base, your HubSpot tier, and whether the feature you want is on your plan. The Customer Agent needs a Professional or Enterprise subscription and uses HubSpot Credits.
One support queue, one follow-up, one meeting type. We write down what the AI does, where a person approves, and what counts as working.
Tested on your real records and real questions, not a demo account.
We review what the agent answered, what it escalated and what it got wrong, and tune the knowledge base and rules. We report what we measured, not projected savings.
Every project is fixed fee, and projects start at $5,000. HubSpot licensing and HubSpot Credits are paid to HubSpot and aren’t included. 30 days of support come with every build. Knowledge bases need upkeep as products and policies change, so we recommend a retainer after the 30 days: $1,000 a month for 5 hours.
The Customer Agent answers support questions from your knowledge base and hands off to a person when it isn’t sure. AI drafting writes follow-up emails, documents and meeting summaries onto the CRM record for a rep to review. The value depends on clean data and accurate content behind it.
A Professional or Enterprise subscription on any hub, plus HubSpot Credits. Credits are used when the agent resolves a conversation, not for every message. HubSpot changes plans and credit rules on its own schedule, so we confirm what your subscription includes before scoping anything.
Not in anything we build. The Customer Agent answers inside the chat or channel you deploy it to and hands off to a person when it’s unsure. Everything else we set up, drafted emails, documents and record updates, waits for a person to approve it.
Use the Customer Agent when your knowledge base is large and accurate and you want repetitive questions off the team. Use a scripted chatflow when you need exact control, your documentation is thin, or qualification follows a fixed script. Sites with pre-sales and support traffic often run both.
Check three things: duplicate records, missing associations, and a knowledge base that matches how your product works today. If any of those fail, the AI will answer wrong with confidence. Our free HubSpot audit checks them and fixes the quick wins before an agent goes live.
The AI assessment is $1,000 per department. Builds are fixed fee and start at $5,000, with 30 days of support included. HubSpot licensing and HubSpot Credits are paid to HubSpot separately. Knowledge bases need upkeep, so we recommend a retainer afterward, $1,000 a month for 5 hours.
Only within HubSpot’s HIPAA rules. Its AI can summarize covered calls and meetings but can’t read properties marked sensitive, and some AI features aren’t covered by HubSpot’s BAA yet. We check each AI feature against your sensitive data setup before it goes live in a healthcare portal.
