HubSpot ERP integration

Your reps sell from HubSpot. Your ERP stays the system of record.

We connect your ERP to HubSpot so reps see orders, pricing and stock on the record, and quote or order without opening the ERP. Fixed fee, $15,000 to $20,000.

ERP to HubSpot: customers, contacts, orders, line items, pricing and stock

HubSpot to ERP, where needed: new orders, and line quantity and price changes

Customers and contacts

Every account that has ordered, on a HubSpot record.

  • Bill-to and ship-to flagged
  • One customer, not dozens of duplicates

Orders and line items

Sales orders come across as deals.

  • Line items on the deal
  • The ERP’s price on each line

Pricing and stock

Customer-specific pricing from the ERP.

  • No second price list to maintain
  • At Fairbank, reps check warehouse stock inside HubSpot

Ownership

The deal owner follows the ERP’s salesperson code.

  • Nobody assigns it by hand
  • Ownership always matches the ERP

Write-back, where needed

Reps act in HubSpot. It lands in the ERP.

  • Create, advance and cancel orders
  • Edit line quantity and customer price

Quotes and bids

Reps build bids in HubSpot.

  • The ERP sets the price
  • The order ID writes back to the deal
How we build it

The parts that keep it working on a busy day

Anyone can move data on a good day.

Field-by-field rules

Before we build, every field is set as ERP-locked, one-way or two-way. The two systems never fight over who’s right, because for every field that was decided up front.

Example field rules

Customer and order numbers

ERP-locked

Order history and invoices

One-way to HubSpot

Line quantity and price

Two-way

Deletions, handled

Some ERPs don’t announce when a record is deleted. Ignore that, and deleted orders live on in HubSpot until reps stop trusting it.

1

Deleted in the ERP

An order or line item disappears.

2

Archived in HubSpot

Nothing vanishes without a trace.

3

Then removed

The two systems match again.

4

Weekly full check

Both systems compared, record by record.

Guardrails for reps

Reps change only what they’re allowed to.

  • Moving a deal forward does the right thing in the ERP
  • Moving it somewhere it shouldn’t go does nothing

Runs where your ERP runs

Cloud, or on your own server.

  • Behind your firewall: runs inside your network or connects over VPN
  • Your security setup doesn’t change

No per-flow license

Built on n8n.

  • No platform charging per flow and per connected system
  • Hosting billed monthly by task volume

Proof

What it did at Fairbank

Fairbank Equipment, an equipment distributor with 51 to 200 people, wanted its outside reps working in HubSpot with Epicor Eclipse underneath. Native connectors couldn’t reach Eclipse. We built the integration from kickoff to launch in about 8 weeks, and trained reps, managers and the people who keep the data clean, on desktop and phone.

“The ProfitPad team led by Chris has executed the implementation, training and integration on-time and budget. It has been one of the rare IT implementations that there were no surprises and the product was as specified.”

Lon Jennings, CEO, Fairbank Equipment

Options

Connector, platform or custom build?

A packaged connector can be the right call. Here’s when each fits.

Packaged connector

Fits a cloud ERP with a standard object list.

  • Yearly subscription plus setup
  • Custom logic hits the template’s walls

Integration platform

More flexible, with platform fees on top.

  • Often priced per flow and per connected system
  • The logic lives in the vendor’s platform

Custom build on n8n

What we build.

  • On-premise ERPs, deletions and write-back
  • No per-flow license

FAQ

HubSpot ERP integration FAQ

Which ERPs can you connect to HubSpot?

We’ve shipped two Epicor Eclipse integrations and one Agility integration. Prophet 21 uses the same approach as Eclipse, though we haven’t shipped a P21 project yet. For another ERP, if it has a usable API, we scope it after a free 30-minute review and tell you plainly if we haven’t built it before.

How much does an ERP to HubSpot integration cost?

The sync is a fixed $15,000 to $20,000, one-way or two-way, set after the free review and confirmed ERP access. Hosting is billed monthly by task volume. You get 30 days of support included, then integration maintenance from $2,000 a month. HubSpot licensing is separate.

How long does an ERP integration take?

It depends on the ERP and the scope, so we set the timeline after confirming access. Fairbank’s Eclipse integration went from kickoff to launch in about 8 weeks. Cooney Brothers’ Eclipse integration took about 2 months.

Should the sync be one-way or two-way?

Start one-way, ERP into HubSpot. It covers most of what reps need: accounts, order history, pricing. Add two-way only where reps truly need to write back, such as creating orders, because every two-way field needs rules for conflicts.

Can you connect an ERP that runs on our own server?

Yes. Cloud-only tools often can’t reach an ERP behind your firewall, so the integration runs inside your network or connects over VPN.

What happens when a record is deleted in the ERP?

In our builds, deleted records are archived in HubSpot, then removed, and a weekly full check compares both systems record by record. Ask any vendor this question. A vague answer predicts the whole project.

Tired of reps working in two systems?

Tell us your ERP and what reps need to see. We’ll give you a fixed price and timeline.
