Sage Eldercare: healthcare case study

How Sage Eldercare got HubSpot working a different way

Sage Eldercare had built HubSpot themselves, and it had become convoluted. We rebuilt the sales process as HubSpot 2.0 and simplified the structure, then connected QuickBooks and cleared the bottleneck in the agreement stage.

What Sage needed, and what we built

What they needed

Sage Eldercare had set up HubSpot internally, and over time the setup became convoluted. Objects and properties overlapped, and the team couldn’t tell where a piece of information lived or which field to trust. They wanted a system the team works in, not around.

What we built

  • HubSpot 2.0: a new sales process, led by Vitaly Kan, with objects and properties simplified so each piece of information has one home
  • QuickBooks connected to deals: a new invoice finds its deal, adds the line items and moves it to Closed Won, and payment moves it to Closed Won, Paid
  • Add-on deals that inherit the original deal’s contacts
  • Notes, emails, calls and meetings mirrored between contacts and their deals every hour
  • The agreement-date bottleneck removed from the deal process, by Chris Becher in March 2026
  • Five automations moved from Zapier to n8n in one week, with zero downtime
45%

Agreement stage 45% faster. Average time deals spend in the agreement stage fell 45.1% after the fix on March 24, 2026. The median fell 41.6%.

“We hired ProfitPad to fix our poor internal 1.0 HubSpot implementation. The project just concluded: we are already basking in the excitement of HubSpot working a whole different way for us.”

Jack Herndon, Managing Partner, Sage Eldercare Solutions

Measured in Sage Eldercare’s HubSpot portal in October 2026, on completed agreement-stage visits before and after March 24, 2026. It measures one stage of the deal process, not the full sales cycle. The work ran as several projects of four to eight weeks each.

Built from the rep's chair, for the owner's view

Our founder sold from HubSpot before he ever configured it. That shaped how we build: from the user's chair, not the admin panel. Reps have to use the system without thinking, or the data never shows up. Owners have to see the business without sitting in every deal.

So we strip away the noise: the 20 reports nobody opens, the automation that helps no one. What's left is a system your team uses and you can read. Every builder on our team is trained to work this way.
