Cooney Brothers: ERP to HubSpot case study

How Cooney Brothers turned ERP records into deals their reps own

Cooney Brothers, a family-operated distributor since 1937, needed its ERP data usable inside HubSpot. We finished the data integration in about 2 months, then built the automation that assigns ERP deals to the right rep.

What Cooney needed, and what we built

What they needed

Cooney's customers, bill-to and ship-to accounts, and transactions lived in Epicor Eclipse. HubSpot needed that data in a form reps could use, with a named person accountable for every deal that came across.

What we built

  • The ERP data integration, finished in about 2 months, over the holidays
  • Deal ownership from the ERP: each transaction's writer code maps to the right HubSpot user
  • Contact addresses completed from Eclipse, and from the bill-to customer, when missing
  • Quote follow-up for selected accounts' qualifying bids, with a task for the rep when there's no email on file
  • Revisions to company record-type logic (bill-to and ship-to) and marketing-rank segmentation

How it works on a deal

A transaction syncs from Eclipse carrying its writer code. Our ownership workflow maps that code to the matching HubSpot user, so the deal lands with a named rep instead of sitting unowned.

Where it stands

Cooney moved to Agility ERP in August 2026. This case study covers the Eclipse integration and the automation built on top of it.

Figures from an October 2026 audit of Cooney's HubSpot portal. Owner coverage compares open deals by creation date, measured at the time of the audit.

In their words

“We had started our migration with a different partner who told us they had integrated HubSpot with our ERP previously. Over a year later, the project still wasn't complete. ProfitPad finished the data integration in about 2 months, and that was over the holidays.”

Built from the rep's chair, for the owner's view

Our founder sold from HubSpot before he ever configured it. That shaped how we build: from the user's chair, not the admin panel. Reps have to use the system without thinking, or the data never shows up. Owners have to see the business without sitting in every deal.

So we strip away the noise: the 20 reports nobody opens, the automation that helps no one. What's left is a system your team uses and you can read. Every builder on our team is trained to work this way.
