California Mobility: HubSpot routing case study

How California Mobility doubled the leads with an owner within a minute

California Mobility sells mobility equipment, and every new lead needs a named owner fast. We built territory routing and sales automation around their HubSpot, then moved all of it from Zapier to n8n. New contacts with an owner within a minute went from 26% to 56%, on an automation bill 53% lower.

What California Mobility needed, and what we built

What they needed

New contacts came in from forms, calls, and lists, and too many sat with no owner. Reps also lost time to manual steps: building Drive folders for each deal, copying deal details into calendar invites, and fixing bad addresses before a visit.

What we built

  • Territory routing: each new contact's ZIP code is matched to an owner from a territory map California Mobility edits itself
  • A Drive folder created for every deal, with the link written back to the deal and contact
  • Calendar events that pull in deal and contact details when they include a deal link
  • Address validation through Google Maps, written back to the record
  • All nine flows moved from Zapier to n8n with zero downtime
  • A custom mobile quoting tool for reps in the field, built and now rolling out to the team
26%→56%of new contacts had an owner within a minute of being created
38%→21%of new contacts never got an owner at all
53%lower monthly automation cost after the move to n8n, at the same volume

How it works on a lead

A contact arrives with a ZIP code. The routing flow looks it up in the territory map and sets the owner in seconds. When territories change, California Mobility edits a sheet, not a workflow. Speed was never the issue: when an owner got set, it took about 15 seconds before and after. The difference is how many leads got one.

Where it stands

Routing and the rest of the automation now run on n8n, at $120 a month instead of $253 on Zapier for the same nine flows. The quoting tool is complete and being rolled out to the full sales team.

Routing figures come from random samples of 100 new contacts in each of two 12-month windows (July 2023 to June 2024, before routing, and July 2024 to June 2025, after), pulled from California Mobility's HubSpot portal in October 2026. Cost figures compare the Zapier and n8n bills at the same task volume.

Built from the rep's chair, for the owner's view

Our founder sold from HubSpot before he ever configured it. That shaped how we build: from the user's chair, not the admin panel. Reps have to use the system without thinking, or the data never shows up. Owners have to see the business without sitting in every deal.

So we strip away the noise: the 20 reports nobody opens, the automation that helps no one. What's left is a system your team uses and you can read. Every builder on our team is trained to work this way.
