Short answer: a HubSpot implementation with ProfitPad is a fixed fee. Builds start at $5,000, and most land between $5,000 and $20,000. Connecting HubSpot to your ERP is a separate $15,000 to $20,000 build. Your HubSpot license is paid to HubSpot and isn't included.

What moves the price

  • Your data. Duplicates, free-text fields, and years of inconsistent entry take time to clean.
  • Your integrations. Connecting a standard app is quick. A two-way ERP sync with field-by-field rules takes weeks.
  • Your sales process. If you know how you sell, we build it. If not, we design it first.
  • What has to come out. Fixing a portal the team works around costs more than starting clean, because old workflows and properties come out before new ones go in.

Your HubSpot plan matters too. Some features, such as custom objects, depend on your tier, and HubSpot changes those limits. Check HubSpot's current pricing page before you scope.

How long real projects took

  • Asaar Medical: full CRM build in 3 weeks. They had expected 60 to 90 days.
  • EquipmentShare: duplicate cleanup across a 1,000+ person company in 4 weeks.
  • Fairbank Equipment: Epicor Eclipse to HubSpot integration, about 8 weeks from kickoff to launch.
  • Cooney Brothers: ERP data integration finished in about 2 months.

Data volume drives the timeline more than the number of features.

What's not included

  • Your HubSpot license, paid to HubSpot
  • Other tools, such as n8n, Make, or Zapier
  • Content: email copy, sequences, and landing pages
  • Support after the first 30 days, unless you choose a retainer

Fixed fee or hourly?

Hourly billing has no ceiling. Every extra call and revision adds to the bill. With a fixed fee, you know the number before you sign, and if the work runs long, that's on the partner. If a partner bills hourly, ask for the cap in writing.

Four questions to answer before you get a quote

  1. How many contacts and companies do you have, and how clean is the data?
  2. How many pipelines or sales processes do you run?
  3. Which systems have to connect on day one: ERP, accounting, billing?
  4. Which HubSpot plan are you on, or planning to buy?

With those answers, any partner should give you a range on the first call.

At ProfitPad, builds are a fixed fee starting at $5,000, and most land between $5,000 and $20,000. A one-pipeline sales process setup is $5,000. An ERP integration is $15,000 to $20,000. Your HubSpot license is paid to HubSpot and isn't included.

How long does a HubSpot implementation take?

A one-pipeline sales process setup goes live in 5 business days. Larger builds take about 6 weeks on average, with the date fixed in your scope. Our ERP integrations have run about 8 weeks from kickoff to launch.

Is the HubSpot license included in the implementation fee?

No. You pay HubSpot directly for your plan. The implementation fee covers the design, build, data work, integrations, and training.

How much does it cost to connect HubSpot to an ERP?

We build the sync for a fixed $15,000 to $20,000, one-way or two-way. It starts with a free 30-minute review, and the fee is confirmed once we have access to your ERP.

Can we implement HubSpot ourselves?

Yes, if your sales process is simple and your data is clean. The risk is a setup that works for five people and breaks at fifteen. If you already have a portal the team works around, start with a free HubSpot audit.
